How to Prepare Your Shop for Christmas in Ghana: A 10-Point Checklist
Every shop owner knows the feeling. December arrives, customers pour in, and the small problems you ignored in October suddenly become big ones. The shelf you meant to restock is empty. The queue at the till keeps growing. The stock count doesn’t match your sales book, and nobody can say why.
Most of these problems are easy to prevent if you start early. If you want to prepare your shop for Christmas, the best time is now, while you still have weeks to fix things. Here are 10 things to sort out before the rush.
1. Get your stock right
1. Count everything now. A full stock count in November shows you what you really have. Pick a quiet day, count by category, and note anything damaged or close to expiry. Use two people and agree on the numbers before writing them down. It takes time, but it gives you a clean starting point for December.
2. Find your fast movers and restock early. Look at what sold out fastest last December and in recent weeks. These are the items you can’t afford to run out of. Suppliers get busy at this time of year, so order early and leave extra room for the items you know will fly.
3. Deal with slow stock. Products that haven’t moved in months are tying up your cash. Bundle them with popular items, discount them, or move them where customers will see them. That cash is better spent on stock that will actually sell.
A POS like Venta updates your stock every time you sell, so you can see what’s running low and what isn’t moving without recounting the whole shop.
2. Get your counter ready
4. Make billing quick. Long queues lose sales, especially when customers are carrying shopping and in a hurry. Make sure prices are clear, your receipt printer has paper, and your counter is set up so one customer is served at a time. Scanning barcodes instead of typing prices also cuts mistakes and speeds up the line.
5. Plan for power and network problems. Power and network interruptions don’t take a holiday, and they tend to hit when your shop is busiest. Decide now what you’ll do if the light goes off or the network drops: backup power, a charged device, and a billing system that doesn’t depend on the internet. Venta POS keeps billing offline and syncs your records when the network comes back, so a bad hour doesn’t become lost sales or missing records.
6. Sort out your payments. Customers will pay with cash, MoMo and cards, and sometimes a mix of all three on one bill. Keep enough change in small notes, check that your MoMo and card options work before the rush, and make sure everyone at the till knows how to record mixed payments. Mistakes here are one of the most common reasons the cash at closing doesn’t match the sales records.
3. Get your people and prices ready
7. Brief your staff, including seasonal help. If you’re bringing in extra hands for December, take an hour to show them how billing and payments work and what to do when a price is missing. Where you can, give each till to one person, so every sale and every cash count has a clear owner. It’s fairer to your staff, and it makes it much easier to find the cause when something doesn’t add up.
8. Set prices and promotions early. Update price changes before you open for the season, not halfway through a busy Saturday. If you plan promotions, keep them simple and make sure the till and the shelf tags agree. A basic loyalty or discount scheme can also help bring regular customers back in the new year. (Venta’s Boost and Retail Suite plans include customer loyalty and discount tools.)
4. Watch your cash and your numbers
9. Reconcile every day. At closing, compare the cash and payments you’ve received with what your records say you sold. A small gap found the same day is easy to trace. The same gap found at the end of the month is almost impossible. Make it a rule that nobody goes home until the day’s numbers are checked.
10. Check your numbers daily, even when you’re not in the shop. During the busy season you’ll want to know what’s selling, what’s running low and how the day went, without waiting for a weekly report. If you can’t be in the shop all day, a cloud dashboard helps. With VentaHub (on Venta’s Boost and Retail Suite plans), you can see sales and stock from your phone, and your data is backed up in the cloud.
Don’t wait for December to find the gaps
Go through this checklist and you’ll probably spot two or three things that need attention. That’s normal, and it’s far better to find them in November than in the middle of the Christmas rush.
Venta POS tracks your sales and stock, keeps working when the power or internet goes off, handles cash, MoMo and card, and shows your numbers on your phone. Want to see it in your shop before the rush? Book a free walkthrough with the Rootech team on WhatsApp: +233 54 631 0011.
